Turn the return policy into an operable customer journey with clear eligibility, fees, ownership, and handoffs.
Locked✓ - Lesson 4: Automate the repeatable task, not the exception

This module’s outcome is one accurate post-purchase path across confirmation, tracking, and returns. Atlas synthesis: treat returns as retention by protecting trust and the customer relationship during a problem, not by promising that a return policy or exchange will produce a repeat purchase.
Confirm the order
Order confirmation, shipping, cancellation, and refund notifications are distinct Shopify events.1 Test each event the store supports with a representative order. Verify identity, items, totals, delivery route, next action, and working status link. Do not treat a template preview as proof that a received message or app branch works.
Make tracking reliable
Shopify’s order status page is revisitable and displays tracking after fulfillment tracking data is added.2 Default templates include status links, while customized templates can require manual preservation; carrier events remain carrier-dependent.3 Test mobile status and tracking links across real delivery branches. Never convert an estimated or missing carrier event into a guaranteed delivery statement.
Make returns operable
Shopify self-serve returns and cancellations can let customers request action from the order status page, subject to configured rules and merchant approval.4 Return controls cover eligibility, windows, shipping costs, fees, and final-sale exceptions.5 The written policy, operational workflow, market obligations, inventory disposition, refund timing, exchange handling, and support response must agree. Shopify explicitly directs merchants to qualified legal help for policy obligations and states that its tools do not automatically make a store compliant.5
Assignment and boundaries
Build one matrix with event, trigger, owner, expected data, customer action, dependency, test artifact, rollback, and escalation. Cover confirmation, tracking, delayed or missing tracking, return request, ineligible request, exchange where offered, refund, and cancellation where supported.
Dependencies include customer accounts, market and language, fulfillment and returns apps, carriers, 3PL, inventory, finance, email delivery, policy, and local law. Escalate inaccurate carrier events to the carrier or fulfillment app, malformed templates to the notification owner, inventory or refund mismatches to operations and finance, and policy or consumer-right questions to qualified legal counsel.
